Holder and tenant ID
Each portal user sees only the records that are theirs. Two values that must match decide this:
- the portal user's tenant ID, set in Portal users;
- the holder ID of each record: the value of the field the entity marks as the holder — for example, the customer's CPF/CNPJ on an invoice.
The portal shows the user the records whose holder ID equals their tenant ID. A user without a tenant ID sees no records.
Several users, the same holder
Several users can have the same tenant ID — a company's partners, the finance team, the accountant. Each one has their own sign-in, and all of them see the same records.
How the values are compared
In the entity, you choose how to compare:
| Comparison | When to use | Example |
|---|---|---|
| Tenant ID (exact text) | The holder is a code from your system | RESP-2027013 |
| Tenant ID as CPF/CNPJ (digits only) | The holder is a tax ID | 123.456.789-09 and 12345678909 are the same holder |
In the CPF/CNPJ comparison, when the value is a CPF (11 digits) or a CNPJ (14 digits), only the digits count, on both sides: a mask in the source system or in the user's profile does not block access. A value that is neither a CPF nor a CNPJ is compared as exact text. In both comparisons, leading and trailing spaces are ignored, and an empty holder belongs to no one.
Example
At Aurora Energia, the Invoice entity uses the field Holder CPF/CNPJ with the CPF/CNPJ comparison. A user with tenant ID 367.909.817-05 sees, in the portal, only the invoices for that CPF — and a colleague registered with the same tenant ID sees the same invoices.
